For HVAC contractors currently on Housecall Pro

Switching from Housecall Pro?$29/mo total. Full HVAC-native tooling.

Housecall Pro is a genuinely good multi-trade field-service platform. If you need dispatching, scheduling, and full CRM across a 5-plus tech crew, it earns its price. But if you are running a 1-to-5 tech HVAC shop and mostly need great bids, service orders, and invoices, you are paying $59/mo (Basic, 1 user) or $149/mo (Essentials, 5 users) on annual billing — for a lot of things you never open, and none of the HVAC-specific tooling.

Free tier is 3 documents per month, forever. Pro is $29/month for unlimited.

Why HVAC shops are switching

Three patterns we hear from Housecall Pro customers

These are the three most common reasons shops on Housecall Pro tell us they want a different tool for HVAC-specific document work.

You pay for the FSM even if you barely use it

Housecall Pro tiers on annual billing: Basic $59/mo (1 user), Essentials $149/mo (5 users), Max $299/mo (8 users). Monthly billing runs $20-40/mo higher. Great features — dispatching, scheduling, GPS tracking, marketing automation, membership plan management. But a lot of small HVAC shops already have a paper board, a group text, or Google Calendar handling the scheduling half of the job. You are paying for the FSM stack whether you use it or not.

No HVAC-specific data model

Housecall Pro treats HVAC the same as roofing, plumbing, garage doors, or landscaping. Estimates are generic line items. There is no AHRI reference field, no matched-pair verification, no SEER2/AFUE efficiency capture, no refrigerant type tracking, no EPA 608 disposition codes. You do that work in a separate notebook or spreadsheet.

Voice AI is office-facing, not tech-facing

Housecall Pro's AI Team (CSR AI, Analyst AI, Coach AI, Marketing AI) is entirely back-office — phone answering, business analytics, coaching, marketing copy. Nothing that helps the technician on the truck voice a bid or narrate a service order. Their mobile app is well-built for tapping through forms in the field, but voice-narrated document creation is not the primary flow. AskWoody Pro is voice-first for the tech — the mic is the fastest way to create a document, not an afterthought.

Less money. More HVAC.

Beyond the price

Three things Housecall Pro doesn't build for HVAC

Cheaper would be enough on its own. These are what makes it HVAC-specific.

AHRI auto-fill on every bid

Paste an AHRI reference or outdoor-unit model. AskWoody Pro fills SEER2, EER2, HSPF2, capacity, and matched indoor coil in one click. Housecall Pro has no AHRI directory integration — everything is manual on the estimate.

EPA 608 built into service orders

Every service order has structured refrigerant fields — type, added, recovered, technician EPA cert. Exportable for §608 recordkeeping. Housecall Pro tracks materials and labor generically; refrigerant handling is on you to log separately.

Voice-first for the technician

The mic is the primary entry point. Voice a bid on the way back to the truck, a service order at the customer's kitchen table, an invoice after cleanup. Housecall Pro's AI Team is back-office (phone answering, analytics, marketing) — the tech-facing app is still tap-and-type-first.

The switch

Run both side-by-side.

You do not need to leave Housecall Pro to try AskWoody Pro. Most shops keep Housecall Pro for scheduling and CRM, and use AskWoody Pro alongside it for HVAC-specific document work. Zero migration.

1

Sign up free — no card, no timer

Google sign-in or email. Verify your business name and license. Free tier gives you 3 documents/month forever. Upgrade to Pro at $29/month when you need unlimited volume.

2

Voice a real bid or service order

Pick a job you already did in Housecall Pro this week. Re-voice it into AskWoody Pro. Compare the PDFs, the vocabulary accuracy, and the AHRI auto-fill. Ninety-second test tells you everything.

3

Keep or replace, your call

If HVAC-specific bidding is the majority of your document work, most shops shift to AskWoody Pro for that and cut back to a cheaper Housecall Pro tier for pure scheduling — or drop it entirely if their calendar tool already handles it.

Your data stays yours

Documents, customer records, and equipment history are yours to export as PDF or JSON anytime. We don't sell data or use it for training.

No trial timer

Free tier is genuinely free forever — 3 documents per month, no credit card, no 14-day countdown. Upgrade only when your volume needs it.

Built by an HVAC pro

AskWoody Pro is shaped by 30 years of hands-on HVAC installation and service work. The vocabulary, the AHRI logic, the EPA 608 tracking — all built by someone who's been on the job.

Questions before you switch

Does AskWoody Pro have dispatching or scheduling?+
No. There is no dispatch board, no crew calendar, no route optimization. If dispatching is core to your operation, keep Housecall Pro for that and use AskWoody Pro alongside it for HVAC bids, service orders, invoices, and refrigerant tracking. Most shops that switch keep some FSM tool in the mix — often a cheaper one — and use AskWoody Pro for the document-heavy HVAC work.
What about on-my-way texts and customer notifications?+
AskWoody Pro has a built-in "On my way" SMS button that sends the customer an ETA-included message from your business Twilio number. Requires SMS opt-in on the customer record (compliance-friendly). Not as full-featured as Housecall Pro's customer-communication automation, but covers the most common use case.
Can I import my customer list from Housecall Pro?+
Not automatically today. Housecall Pro has an export feature — you can grab a CSV of your customers and re-enter or upload manually. Most shops rebuild organically instead: new customers get added as you work with them, which is faster than a batch migration for typical shop sizes.
What about QuickBooks integration?+
Housecall Pro syncs invoices, customers, line items, and payments from HCP to QuickBooks — a one-way push per their own product pages. Supports both QuickBooks Online and Desktop, with a one-time historical data import at initial setup. AskWoody Pro exports invoice data to QuickBooks-compatible formats (CSV and IIF). For a shop that does its main quoting/invoicing workflow in either tool and reconciles in QuickBooks, either integration covers the accounting handoff. Neither offers true bidirectional sync where QB edits flow back into the FSM.
How does payment processing compare?+
Housecall Pro processes payments through their own flow with card rates starting at 2.59% (their published rate on housecallpro.com/pricing; may vary by plan and volume). AskWoody Pro uses Stripe Connect Express at standard Stripe rates — 2.9% + 30¢ per successful card charge — with zero platform markup. On high volume, HCP may have a marginal per-transaction rate advantage; on typical 1-3 tech shop volume the effective difference is small.
What if I have questions during the switch?+
Email woody@askwoodyhvac.ai — you get a real reply from a real HVAC person. AskWoody Pro is small enough that "support" is the founder and the HVAC pro who designed it, not a ticket queue.
Is there a per-technician upcharge?+
No — AskWoody Pro is $29/month total, regardless of technician count, with per-tech logins at no extra cost. Housecall Pro Basic includes 1 user, Essentials includes 5 users, Max includes 8 users; Max charges $35/mo per additional user beyond the 8 included. For 1-2 person shops, both tools work at their entry tier. For 6+ tech shops, our flat pricing widens the gap.
Does Housecall Pro have HVAC-specific AI features?+
Housecall Pro's AI Team is CSR AI (24/7 phone answering — paid add-on), Analyst AI (business data queries), Coach AI (business strategy), and Marketing AI (copy generation). All back-office and customer-facing. None help the technician on the truck do HVAC work faster — no AHRI lookup, no refrigerant tracking assistant, no load calc AI, no voice-narrated bid generation. AskWoody Pro's AI is the opposite orientation: HVAC-native voice narration, AHRI auto-fill from a model number, refrigerant capture on every service order — all designed for the tech in the field.
What about GPS tracking of technicians?+
AskWoody Pro does not do GPS tracking. If tracking crew location during the job is important, keep Housecall Pro for that specific feature. Most 1-3 person HVAC shops do not use GPS tracking day-to-day.
